The AMS Welcome Screen displays all of the modules associated with this current user's login to the system. The screen-shot below shows that this user has access to the Absence Tracking modules. Other modules available include Timesheet & Expense Sheet recording and the AMS Time Clock

 


The Employees Module contains a data grid which lists all of the employees in the system. The grid shows the Employee Number, Name and the Number of Days Leave remaining for each employee. It also displays the following details: - Start Date of Employment, End Date of Employment, Employee Grade and Employee Department.


The Request Absences module is used by employees to submit a request for leave. After a request for leave has been sent to the supervisor, the request is listed in the grid with a status of "Awaiting Approval". The supervisor can log into AMS under their own profile and can view any leave requests using the View Requests module and approve/reject them as he/she wishes. E-mail notification can be used with this module of AMS (multi-user version).


The View Requests module lists requests for leave by employees. Leave can be approved/rejected here by highlighting the appropriate record and clicking on the approve/reject button. Once leave has been approved/rejected it disappears from this list of requests and the appropriate employee's record is updated. The Record Absences module is used to record and view employee absences. Examples of absences include Annual Leave; Certfied Sick Leave; Uncertfied Sick Leave; Exam & Study Leave - any number of Leave & Absence Types can be setup in the AMS Parameters module. The recording mode for employee absences can be in either Days or Hours


The AMS reports are broken up into different categories: Absence Control, Timesheets Management, Expense Sheet Management, Timeclock Control, Office Diary Customised reports can be generated using our Report Builder add-on. Reports can be exported to a different file format e.g. Text file, Lotus 123 Worksheeet, Quattro Pro Worksheet, MS Excel, JPEG, CSS, HTML, Richtext Document, Acrobat PDF.


The User Access parameter allows you to provide users with a login name and a password to use the system. Each user account is associated with a User Profile, which limits the modules to which an employee has access.

 


The User Profiles module allows you to create various User Profiles to provide for the different levels of access required. For example - a Request Only User Profile can be created to grant access only to the "Request Absences" module of AMS.


The AMS Security Groups module is where the company organisational structure is displayed. Each group in the structure is assigned a 'Head of Department' who is given the rights to approve/reject annual leave for all of the employees that reside in their group. These Heads of Department may also be given permission within the Security Groups module to authorise employee leave by e-mail. The Department Heads can only view the employees that are in their group. The User Profiles and User Access modules allow you to decide how much control you wish to give these Department Heads. The AMS Security Groups module is only relevant in a multi-user environment.


The Audit Trail module displays a list of actions that have taken place by all users since the software was first used. The Audit Trail module shows the date and time that the event occurred and the user that carried out the action. It also lists the Action and a description of the action. There is an option at the top of the screen to show a Brief Audit or a Full Audit


AMS is a parameter driven system. The Parameters section is where you can configure AMS and enter values that will remain constant throughout the sytem.
